We provided the client with a solution that consisted of three steps.
Step #1: improved role models in Bitrix24
We helped update the list of all users, systematized their roles in the system, and also set up information exchange with SAP. To do this, we set up integration with the Active Directory system and provided the client with centralized storage of all accounts in the company.
Now the car dealer has a clear algorithm for adding a new employee to SAP, and information about him is automatically uploaded to Bitrix24.
Step #2: Added a JavaScript event that tracks employee activity
If an employee does not perform any actions in CRM (click, tap, scroll) for 10 minutes, the working day is automatically paused and the “break” mode is activated. Switching to the "work" mode occurs as soon as the employee performs any action in the system. When choosing modes, activity is taken into account both in the desktop and web versions of Bitrix24.
In addition, we helped limit access to accounts to the time interval from 9.00 to 21.00 Moscow time and set up the ability to upload employee time reports.
Step #3: added a module to control the terms of open line operators' licenses
A car dealership has many employees who are responsible for customer feedback. Previously, the terms of their licenses had to be checked manually. It was inconvenient and took a lot of time, so the curators did not have time to keep track of the relevance of the licenses used, and the car dealer continues to pay for them. Now access to the license is automatically suspended in a few steps:
if an employee does not enter CRM within a month and a half, the system sends a letter to the employee and his curators,
if an employee does not log into CRM within two months, the license is suspended, the account is deactivated, and the employee and his supervisor receive a notification about this event,
the account is not deleted completely - if the employee returned to work, then access to the account can be restored and a new license can be connected to it.
Result:
Setting up a working time monitoring system allowed the car dealer to:
optimize the process of adding new users to the system,
effectively manage employees
eliminate many small tasks that had to be done manually,
stop paying for unused licenses.
